Families must notify us at least one (1) week before the missed session, or no later than one (1) week after the missed session.

At TXVA, we are committed to providing high-quality programming while maintaining fair and transparent policies for all families. Please review the following guidelines carefully before registering for any program.
The following policies apply to all TXVA camps, clinics, and seasonal programs. We encourage families to review these terms before completing registration.
Full refund less a $20 administrative fee, or a full credit toward any future TXVA program.
50% refund of the registration fee less a $20 administrative fee, or a full credit toward any future TXVA program.
No refunds will be issued once the program has begun. In certain circumstances, participants may be eligible for a pro-rated credit toward a future TXVA program.
A payment processing fee is added at checkout and passed directly to our payment processor. When a family withdraws for a reason within their own control, that fee is handled as follows.
The payment processing fee charged at checkout is not returned. Our payment processor keeps this fee even when a charge is refunded, so it cannot be recovered by TXVA or by you. Any applicable administrative fee is deducted as described above.
You receive the full value you paid, including the processing fee, applied as credit toward any future TXVA program. Issuing credit does not require a new card transaction, so nothing is lost to processing.
When we cancel a program, change its date, time, or location, or are unable to place your athlete, you receive a full refund including the processing fee and no administrative fee. This section applies only to withdrawals initiated by the family.
These are the most common examples. They are not an exhaustive list, and we review unusual circumstances individually.
Illness, injury, and family emergencies are reviewed case by case and are not treated as withdrawals by choice.
If a participant must miss a session due to a reasonable circumstance (such as illness or injury), please follow the guidelines below.

Eligible participants will receive a credit toward a future TXVA program for reasonable circumstances such as illness or injury.
Missing more than one session is not eligible for credit, unless the circumstance is exceptional and has been reviewed and approved by our Customer Support Team.
